Information We Collect

We collect information you provide directly to us when you submit an enquiry, book a viewing, apply for a room, contact us by email or WhatsApp, or become a Coliva resident. This may include your name, email address, phone number, preferred move-in date, room preferences, pet details, tenancy information, payment records, and any message or document you choose to share with us.

We also collect limited technical information when you use our website, such as browser type, device information, pages visited, referral source, and approximate usage activity through analytics tools.

Cookies and Analytics

Our website may use cookies or similar technologies to keep the site working, understand how visitors use our pages, and improve our marketing. This includes Google Tag Manager and Google Analytics cookies, which help us measure page views, traffic sources, and enquiry performance. These cookies do not give us direct access to your private files or device contents.

You can control or delete cookies through your browser settings. Some parts of the website may work less smoothly if cookies are disabled.

How We Use Your Information

We use the information we collect to respond to enquiries, arrange viewings, assess room fit, prepare or administer tenancy arrangements, process payments, manage resident support, send service communications, maintain house safety, improve our website, and comply with legal or regulatory obligations.

Legal Basis for Processing

Where Singapore's Personal Data Protection Act (PDPA) requires consent, we rely on the consent you give when you submit a form, contact us, or continue with a booking or tenancy process. We may also process personal data where it is necessary to respond to your enquiry, take steps toward a tenancy agreement, perform a tenancy or service contract, protect residents and property, or comply with applicable law.

Third-Party Sharing

We do not sell your personal data. We may share relevant information with property owners, landlords, property managers, house managers, payment processors, email and messaging providers, website analytics providers, cloud hosting providers, professional advisers, or public authorities where this is necessary for the purposes described in this policy.

Where we use service providers, we only share the information reasonably needed for them to perform their role and expect them to protect personal data appropriately.

Data Protection (PDPA Compliance)

We are committed to protecting your personal data in accordance with Singapore's Personal Data Protection Act (PDPA). We use practical safeguards such as HTTPS encryption in transit, restricted administrative access, secure server and cloud storage practices, password-protected systems, access controls for operational records, and deletion of personal data when it is no longer reasonably required.

No online system is completely risk-free, but we take reasonable steps to prevent unauthorised access, collection, use, disclosure, copying, modification, disposal, or similar risks.

Data Retention

We retain enquiry data for up to 12 months from your last contact with us, unless we need it for a longer period to handle an active booking, tenancy, accounting record, dispute, safety issue, or legal obligation. Resident and payment records may be retained for as long as reasonably required for tenancy administration, accounting, tax, audit, and legal purposes.

Your Rights

Under Singapore's Personal Data Protection Act (PDPA), you have the right to:

  • Access the personal data we hold about you
  • Request correction of any inaccurate data
  • Withdraw consent for the use of your personal data at any time

We will acknowledge your request within 3 working days, assess it within 7-14 working days, and complete any deletion within 30 days of your request.
